Capturing Invoices by Email

Last updated: 2026-06-21

Duefy gives every account a private intake address that looks like add+xxxxxxxx@reply.duefy.ai (find it under Settings → Email capture). Any invoice that reaches this address is read automatically and drafted for your review.

There are two ways to use it.

1. Forward invoices manually

When an invoice lands in your inbox, just forward it to your Duefy intake address. Duefy reads the PDF, photo, or the details in the body and creates a draft invoice for you to review. Every forward shows under Recent forwarded emails — even one that fails — so nothing is lost silently.

2. Auto-forward (hands-off)

Prefer not to forward each one by hand? Set your mailbox to automatically forward invoice emails to your Duefy intake address. Once it's on, new invoices flow into Duefy on their own.

Finishing the confirmation step

For security, most providers (Gmail, Yahoo, iCloud) won't start auto-forwarding until you confirm the destination. They send a confirmation code and link to the address you're forwarding to — which is your Duefy intake address, so it arrives at Duefy, not your inbox.

Duefy catches that confirmation for you:

  1. Set up auto-forwarding to your intake address in your email provider's settings.
  2. Within a few minutes, a banner appears on Settings → Email capture showing the confirmation code. Duefy also emails the code and link to your account address.
  3. Click Confirm forwarding to finish automatically, or copy the code into your provider's forwarding settings yourself.

That's it — invoices now arrive in Duefy without any manual forwarding.

Tips

  • Already use Gmail or Outlook? You can instead connect them directly under Watch your sent folder — no forwarding setup needed.
  • The intake address is private to your account. If it ever leaks, use Regenerate to roll it; the old address stops working immediately.
  • Files up to 8 MB (PDF or photo), attached or pasted into the email body.
